Your personalized document plan: what to gather first and what can wait

Start with the goal and the deadline

Tell us whether you are buying, renewing, refinancing or exploring options. For a purchase, tell us your financing-condition date and completion date as soon as you have them. For a renewal, share your maturity date; for a refinance, explain the purpose and the timing you need.

A pre-approval does not mean the property or final mortgage is approved. We still need to assess the specific property, current information and any lender conditions.

Usually helpful early

Your requested identification, income documents and down-payment history allow us to understand the essentials. If you are buying, provide the signed purchase agreement and all amendments when available. If you already own the property, your current mortgage statement, property tax information and ownership details may be helpful.

Only if it applies to you

Self-employment records, gift letters, rental leases, strata records, separation documents, immigration documents and construction budgets are not universal requirements. Ask us which records apply to your file and follow your portal request.

Some documents arrive later

A lender may order an appraisal or request property-specific information after choosing a lender. Your lawyer/notary prepares the closing statement and confirms signing and funds instructions. An insurer provides the coverage evidence required for closing. Do not pay for an appraisal or arrange specialized reports before confirming the lender’s requirements with us.

Organize once

Create a private folder with subfolders for each borrower, income, down payment and property. Keep original PDFs. Use dates in filenames and note documents you are waiting for. Avoid putting sensitive records in a publicly shared folder.

A helpful update is: “I uploaded my pay stubs and September statement. My employer letter is expected Tuesday. The gift funds have not arrived yet.”

If your situation changes

Tell us before changing jobs, taking on debt, moving down-payment funds, changing who is on title or signing an amendment to the purchase. Changes may affect lender conditions even after a commitment is issued. We can discuss the implications without making you feel you have done something wrong.

A practical concierge-style approach

We encourage you to ask us to group outstanding requests, explain why each item is needed and identify the most time-sensitive items. Tell us if you would prefer a scheduled call to work through the list. Availability and any special arrangements are confirmed individually; this handbook does not promise a service timetable.
